Booking Terms and Conditions
1. Booking and Confirmation
All bookings must be made through our website, email, or approved booking platform. A booking is only confirmed once a deposit or full payment has been received and a confirmation email has been issued.
By making a booking, the customer confirms that they have read and agreed to these Terms and Conditions.
2. Payments
A deposit is required at the time of booking to secure your place on a cycling trip.
Deposit: 30% of the total trip price
Remaining balance: Due no later than 30 days before the trip start date
If the balance is not paid by the due date, we reserve the right to cancel the booking and retain the deposit.
3. Cancellations by the Customer
If you need to cancel your booking, you must notify us in writing by email.
Cancellation fees may apply as follows:
More than 30 days before the trip: Full refund minus the deposit
Less than 7 days before the trip: No refund will be provided, but the credit may be used on another trip, or transferred to another individual. Please contact support@monterocycling.com
Deposits are non-refundable unless the trip is cancelled by us.
4. Rescheduling
Customers may request to reschedule their booking subject to availability to another trip or experience.
Rescheduling requests must be made at least 14 days before the trip start date. We reserve the right to charge an administrative fee for date or trip changes.
5. Trip Changes or Cancellation by Us
We reserve the right to cancel or modify a cycling trip due to circumstances beyond our control including:
Severe weather
Safety concerns
Road or route closures
Guide illness
Insufficient participant numbers
In such cases, customers will be offered either:
An alternative date, or
A full refund of the amount paid.
6. Fitness and Health Requirements
Participants must ensure they are physically fit and capable of completing the cycling trip they have booked.
By participating, you confirm that:
You are medically fit to undertake cycling activities
You have no medical condition that would prevent safe participation
Participants with medical conditions should inform us before the trip.
7. Safety and Equipment
Participants must follow all safety instructions provided by the guide.
Customers are responsible for:
Riding safely and responsibly
Wearing appropriate cycling gear
Ensuring their bicycle (if bringing their own) is in safe working condition
Helmets are strongly recommended and may be required on certain trips.
8. Late Arrivals and No-Shows
Trips depart at the scheduled time and date.
If you arrive late or fail to attend the trip without prior notice, the booking will be treated as a no-show and no refund will be issued.
9. Liability
Cycling involves inherent risks including accidents, injury, and property damage.
By booking a trip, participants acknowledge these risks and agree that participation is at their own risk.
To the maximum extent permitted by law, we are not liable for:
Personal injury
Loss or damage to personal belongings
Delays or disruptions outside of our control
Nothing in these terms limits liability where it cannot legally be excluded.
10. Photography and Media
During trips, photos or videos may be taken for marketing purposes.
By participating in a trip, you consent to the use of such images unless you notify us in advance.
11. Personal Data
Customer information collected during the booking process will be used only for booking management and communication.
All personal data is handled in accordance with applicable data protection laws.
12. Governing Law
These Terms and Conditions are governed by the laws of the United Kingdom. Any disputes arising from bookings will be subject to the jurisdiction of the courts of the United Kingdom.
